AI business automation: how to estimate cost and ROI

The cost of automating a process depends on how many workflows, tools and exceptions are involved, so there is no single price. The return comes from comparing what the manual work costs today with the cost of building and running the automation. autenflo does not publish fixed prices; we scope cost after mapping your process.

Step 1: Estimate what the manual work costs today

Multiply the number of people doing the task by the hours each spends per week, by their hourly cost, by 52 weeks. For example, 6 people spending 8 hours a week at $25 an hour comes to 6 × 8 × $25 × 52 = $62,400 a year. This is the same calculation used by the ROI calculator on our homepage. The figures are an example, not a benchmark.

Step 2: Understand what drives the cost of automating

Cost generally rises with the number of separate workflows, the number of tools that must be connected, how messy or non-standard the current process is, and how many exceptions need a human checkpoint. Ongoing costs such as tool subscriptions and monitoring should be included, not just the build.

Step 3: Be realistic about how much can be automated

Not every hour of manual work can be removed. Our calculator shows an 80% figure as an illustration only. Your real share depends on the process, and some steps will always need a person. It is safer to estimate conservatively.

Step 4: Count more than hours

Time saved is only part of the return. Also consider fewer errors, faster response to customers and leads, and a quicker month-end close. These are harder to price, so estimate them separately and label them as estimates.

Step 5: Compare against total cost

Divide the total first-year cost, including build and running costs, by the estimated yearly benefit to see roughly how long payback might take. If the benefit is uncertain, use a range rather than one number.

Try the numbers yourself in the ROI calculator on the homepage.

Frequently asked questions

How much does AI automation cost?

It varies with the number of workflows, tools and exceptions involved. We scope it after understanding your process, and we do not publish fixed prices.

How is automation ROI calculated?

Compare the yearly value of the time and errors saved with the total cost of building and running the automation. Use conservative estimates and show ranges.

How long does it take to see a return?

It depends on the size of the process and the cost of the build. Repeated, high-volume tasks tend to pay back sooner than occasional ones.

What should I automate first?

Choose something repeated often, clearly defined, and currently costing real time, such as follow-up on new leads or invoice matching.
